Job Overview

The FCDO Brazil Network works to strengthen relations between the UK and Brazil. We have an Embassy in Brasilia and Consulates in four other major cities.

Based at the Embassy in Brasilia, you will help manage and look after all our office and residential properties across Brazil. You will work closely with managers, internal teams, and outside suppliers to handle property maintenance, staff moves, events, and cleaning services. We are looking for an organized, proactive person who can manage multiple tasks at once and lead a team.


Your Main Responsibilities

1. Property Management

  • Handle daily maintenance and service requests for offices and staff houses.
  • Work with finance and procurement teams to keep properties running efficiently.
  • Build good relationships with landlords, real estate agents, and suppliers.

2. Contracts and Compliance

  • Manage housing rental agreements (tracking renewals, rent changes, and rules).
  • Make sure rent and bills are paid accurately and on time.
  • Keep digital property records updated and organized.

3. Staff Moves (Arrivals & Departures)

  • Prepare houses for UK staff moving to or leaving Brazil (organizing cleaning, repairs, and furniture).
  • Participate in the Property Committee to help make decisions about housing.

4. Managing the Cleaning and Facilities Team

  • Lead and manage the Embassy’s residential cleaning team (about 8 people).
  • Create work schedules, check timesheets, and improve daily cleaning processes.
  • Oversee the office kitchen/tea service.

5. Stock and Storage

  • Buy cleaning supplies and kitchen consumables efficiently.
  • Keep storage areas organized and track the inventory of furniture and materials.

6. Events and Administration

  • Coordinate setup and logistics for official events, working with our events supplier.
  • Keep accurate files of furniture and office assets.
  • Help the wider corporate team and cover for senior colleagues when they are away.

Job Requirements

Education and Experience

  • A university degree (ideally in Business, Property/Facilities Management, or a related field) OR equivalent work experience.

Skills

  • Organization: Ability to handle multiple tasks, deadlines, and priorities.
  • People Skills: Great at negotiating and communicating with landlords, contractors, and staff.
  • Problem-Solving: A proactive attitude with a strong attention to detail.

Language Skills

  • English and Portuguese: You must speak and write both languages excellently.
  • Desirable qualifications, skills and experience  
  • Knowledge of leasing contracts/procurement and of the Brazilian Estate market is desirable
